Opening the message center
The message center offers a convenient overview and management of all communication processes of the project management. All sent messages and e-mails as well as the download and distribution processes can be monitored here.
Open the message center by selecting
Open the... or
Go
to the ... and subsequently
"...
message center".

The message center is opened and the communication activities are displayed on the left in a tree structure.

Incoming and outgoing activities are displayed separately in their own nodes. You can choose between a grouping by date and a grouping by sender.
New, unread messages are additionally displayed in the node New messages, which is divided into different time periods. Click on a node to display its contents.
If you wish to mark all messages of a node as 'read' at once, open the context menu with the right mouse button and select mark as read.
The outgoing communication activities are divided into (internal) messages, e-mails, downloads and distributions. Click on these nodes to see all contained activities and display the content on the right-hand side in a table.
Note: | Please note that only messages are displayed which fall into the selected time period. You can adapt this time period by configuring the message center. |
Configuring the message center
To change the time period for which communication activities are displayed, select the top node
of the tree .

On the right, a dialog appears in which the time period can be adapted.

The following actions are available:
Change the display of the tree. You can choose between normal view and date view. In the date view, the messages are additionally grouped into the categories "Today", "Yesterday", "Last week", "Last month" and "Remaining". | |
Show global and personal distributors. | |

Show my subscriptions. | |
Compose an e-mail/message. | |
Change the time period for the display. Only the messages sent and received in the specified time window as well as the unread messages are displayed. Click on the arrow keys to shift the time period by the given interval. |
The individual communication activities, like messages, e-mails or download processes, are listed in the tree on the left. Click on the icon of a communication activity to display its properties on the right.
Tracking messages
Incoming messages can be marked in order to find them more easily later on. Mark a message in the
incoming log and click Activate
tracking. The message is moved to the tracking folder.

Accessing incoming messages
In the incoming log, you can view and manage all incoming messages. The messages are grouped by sender so you can see at a glance from whom the messages were sent and also find messages from certain people quickly.
Below the node Incoming messages from in the tree, mark the message you wish to read.

The message's data window is displayed.

The following table describes the available actions of the incoming log.
A click on this icon copies the message to the clipboard. | |
Mark the message as unread. Sets the message's status to unread, so that it is easily
recognized as a new message. If a message is set to unread, its icon changes to |

Activate tracking. If activated, the icon changes to |

Reply to this message. | |
Forward selected message. This e-mail can be forwarded to another recipient. Subject and attachments are preserved. | |
Edit selected message as new. The values of the message are transfered to the new message. | |
Print a pdf document with the contents of the message. |
Additionally, incoming and outgoing logs can be displayed using the search function.
Outgoing log
In the tree view under the node "Outbox" ,
all recipients are also listed under the individual communication activities. In this way you can
easily see which project members received which information when.
A targeted search of communication processes is also available by searching the incoming and
outgoing logs. See Communication Incoming/outgoing log.
Similar to the incoming log, you can view the properties of a message in the outgoing log by selecting it in the message tree.

The following table explains the actions available in the outgoing log.
Display the distribution: a list of all recipients of this message. | |

Subscriptions
To view the existing subscriptions, click on in the message center.

Running subscriptions are labeled with the symbol
stopped subscriptions are labeled with
In order to change the properties of a subscription, click on the symbol of a subscription in the list.

Here you can delete the subscription using
or change the properties by clicking on
.

Using the drop-down menu next to the field Status, you can deactivate (setting stopped) or reactivate (setting running) the subscription.
Modify the name, e-mail address, the notification interval and the activities which should be protocolled as desired and confirm your changes with Change.
In order to set the properties of several subscriptions at once, mark them in the list and select
the action . Modify the desired
properties and confirm with OK.
